Overview The Banquet Coordinator is responsible for the planning, coordination, and execution of events held in the banquet facilities. This role requires excellent organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously. The Banquet Coordinator ensures that every event is seamless, from initial client contact to post-event follow-up, while working closely with the kitchen, service staff, and event teams to meet the clients needs.
THE JOBSCOPE
- Work closely with clients to understand their event requirements, including room setup, menu choices, guest counts, and special requests.
- Create detailed event timelines and ensure all logistics are executed smoothly.
- Coordinate with internal departments, such as catering, audiovisual, and housekeeping, to ensure all event needs are met.
- Manage all event documentation, including contracts, invoices, and event orders.
- Serve as the primary point of contact for clients leading up to and during the event, providing excellent customer service.
- Maintain clear and consistent communication with the event team, ensuring everyone is aligned on event details.
- Handle guest inquiries or concerns promptly and professionally during events to ensure client satisfaction.
- Oversee the setup of banquet halls, ensuring the room layout, table settings, and decorations match the clients specifications.
- Ensure that all food and beverage service requirements are met, including coordinating meal service times with kitchen and catering staff.
- Monitor the event throughout, ensuring everything runs smoothly, addressing any issues or changes in the event flow, and providing assistance as needed.
- Lead and direct banquet staff, including servers, setup crew, and other team members to ensure efficient operations during events.
- Ensure that the event space is cleaned and returned to its original condition after the event has concluded.
- Conduct post-event follow-up with clients to ensure satisfaction and gather feedback for future improvements.
- Maintain accurate records of bookings, client preferences, and event details.
- Assist with inventory management of banquet equipment, ensuring supplies are stocked and maintained.
REQUIREMENTS
- Strong organizational and multitasking abilities, with attention to detail.
- Excellent communication and interpersonal skills.
- Ability to work under pressure and handle fast-paced environments.
- Proficient in Microsoft Office.
- Ability to stand for long periods, lift and move equipment, and assist in the physical setup and breakdown of events.
IMPORTANT TRAITS & EXPERIENCE
- High school diploma or equivalent required. A degree or certification in hospitality management, event planning, or a related field is preferred.
