Personal Assistant
We are seeking a highly organized, resourceful, and proactive Personal Assistant with a background in the F&B industry to provide comprehensive administrative and operational support to the Executive. This role requires someone who can manage day-to-day priorities, coordinate multiple schedules, and handle confidential matters with professionalism and discretion.
Must be willing to travel, work late nights, and be comfortable working with an F&B group that includes establishments serving alcohol.
Key Responsibilities:- Act as the first point of contact for the Director, managing communications, calls, and correspondence.
- Manage the Directors calendar, schedule meetings, and coordinate appointments, events, and travel arrangements (local and international).
- Provide support for F&B-related operations, including supplier coordination, outlet updates, reporting, and tracking inventory/expenses as needed.
- Attend meetings (internal and external), take minutes, and follow up on action items.
- Prepare reports, presentations, and briefing materials for meetings and events.
- Liaise with internal departments, clients, and external stakeholders on behalf of the Director.
- Maintain strict confidentiality and handle sensitive information with integrity.
- Perform ad hoc tasks and personal errands as required by the Director
- Minimum Diploma in Business Administration, Hospitality, or related field.
- At least 2-3 years of experience as a Personal Assistant, with exposure to the F&B or hospitality industry preferred.
- Strong organizational skills, attention to detail, and the ability to multitask effectively.
- Excellent written and verbal communication skills in English and Bahasa Malaysia. Mandarin is an added advantage.
- Tech-savvy; proficient in Microsoft Office (Word, Excel, PowerPoint), email/calendar management tools.
- Possesses a high level of professionalism, discretion, and confidentiality.
- Able to work independently and take initiative.
- Willing to travel or be on call occasionally, depending on the Executives schedule.
