Administrative Assistant
This is a unique opportunity to be the central hub for our operations, providing essential support to over 10 Anytime Fitness branches. Youll work closely with our Branch Managers and senior leadership to ensure our gyms run smoothly and our members have an exceptional experience.
What Youll DoSupport daily operations: Youll handle administrative tasks for all 10 branches, and future branches, including managing documents, organizing schedules, and coordinating meetings.
Internal Communications: Be the primary point of contact for internal inquiries, effectively communicating with Branch Managers and team members.
Supplier and Partner Communication: Liaise regularly with suppliers, contractors, landlords and brand partners via email, phone, and in-person for company business matters. Written and Spoken English must be of a high standard.
Support Club Operations: Assisting all club managers with report compilations, data reports, and operational needs such as member cancellations, membership sales audits, facility upkeep, and centralised control of merchandise and consumables
Maintain Records: Keep our member and employee records up-to-date and meticulously organized, ensuring accuracy and confidentiality.
Assist with HR and Finance: Support basic human resources functions like documents for onboarding new staff, simple HR documents & correspondence for new and existing staff - as well as admin support for financial tasks
Provide General Support: Be the go-to person for our team, offering a wide range of administrative assistance to help our branches and staff succeed.
Mobility: Visit branches for occasional upkeep audits, assist with dispatches, visit partner and government offices for documentation collection / delivery where needed.
Experience: Proven experience in an administrative or office support role, preferably within a multi-site or multi-departmental responsibility
Highly organized: Your greatest strength is your ability to manage multiple tasks, prioritize effectively, and maintain a tidy and efficient workflow.
Strong communication skills: You can communicate clearly and professionally, both in writing and verbally. Proficiency in English and Bahasa Malaysia is a must.
Tech-savvy: You are comfortable using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and can quickly learn new software and systems - We use Google Workspace predominantly now, as well as various CRM systems and software for club sales, CS, and operations
Proactive attitude: You are a self-starter who anticipates needs and takes initiative to solve problems before they arise. We need someone energetic and enthusiastic to contribute wherever and whenever they can.
Passion for fitness: A genuine interest in the health and fitness industry is a big plus!
