Personal Assistance Director

Key Responsibilities

Logistics Coordination:

  • Ensure timely arrival of technical trucks at Channel (Chl) by 10:00 AM.
  • Minimize waiting times at Techno; address delays exceeding 30 minutes.
  • Oversee direct deliveries to customers, ensuring 5-ton trucks depart Techno by 7:00 AM.
  • Manage long-term parking or leasing arrangements for trucks at Techno.

Order Management:

  • Coordinate with Channel to receive orders before 4:00 PM for night dispatch.
  • Handle urgent orders, ensuring trucks are dispatched between 3:00 PM and 6:00 PM.

Warehouse Operations:

  • Allocate cold room space for up to 30 pallets; monitor usage to prevent underutilization.
  • Manage warehouse space for 20 pallets; ensure efficient storage practices.

Financial Oversight:

  • Address backlog invoices exceeding 3 months; liaise with relevant departments for resolution.
  • Review and update Standard Operating Procedures (SOPs) to streamline processes.

Inter-Company Pricing & Claims:

  • Analyze and negotiate breakdown costs; ensure agreements are documented and signed.
  • Resolve credit note (CN) claims related to quality issues and pricing discrepancies.

Executive Support:

  • Manage the Directors calendar, appointments, and travel arrangements.
  • Prepare reports, presentations, and correspondence as needed.
  • Act as a liaison between the Director and internal/external stakeholders

Job RequirementsEducational Qualifications:

  • Diploma in Business Administration, Management, Logistics, or a related field.

Experience:

  • Minimum of 2 years in a managerial or executive support role, preferably within logistics or supply chain management.

Skills:

  • Strong multitasking abilities and time management skills.
  • Excellent communication skills in Bahasa Malaysia and English; proficiency in Mandarin is an advantage.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Ability to handle confidential information with discretion.

Job Type: Full-time

Pay: RM3,000.00 - RM4,500.00 per month
