About the role

The Executive - Wholesale Admin is responsible for supporting the wholesale sales team by managing administrative tasks, ensuring efficient operation of wholesale activities, and maintaining excellent customer service standards. This role involves coordination with various departments, handling order processing, and maintaining accurate records.

Reporting to the Manager - Wholesale, you will be responsible for:

Key Responsibilities:

1. Order Processing and Management:

  • Process wholesale orders, ensuring accuracy and timely fulfilment.
  • Coordinate with the warehouse and logistics teams to ensure smooth

dispatch and delivery of goods.

  • Handle order amendments, cancellations, and returns efficiently.

2. Customer Service:

  • Serve as the primary point of contact for wholesale customers, addressing

inquiries and resolving issues promptly.

  • Maintain strong relationships with key accounts and provide ongoing support.
  • Ensure a high level of customer satisfaction by addressing concerns and

providing solutions.

3. Inventory Management:

  • Monitor stock levels and coordinate with the procurement team to manage

inventory effectively.

  • Assist in conducting regular stock takes and inventory audits.

4. Administrative Support:

  • Prepare and manage documentation, including invoices, purchase orders,

shipping documents, and contracts.

  • Maintain accurate and up-to-date records of all transactions and interactions

with wholesale customers.

  • Assist in preparing sales reports and presentations for the sales team and

management.

5. Coordination and Communication:

  • Liaise with internal departments such as finance, marketing, and supply chain

to ensure seamless operations.

  • Communicate effectively with suppliers and customers to manage

expectations and deliver exceptional service.

6. Market Analysis and Reporting:

  • Monitor market trends and competitor activities to provide insights to the sales

team.

  • Assist in compiling data and generating reports on sales performance,

customer feedback, and market conditions.

7. Compliance and Policy Adherence:

  • Ensure compliance with company policies and procedures, as well as industry

regulations.

  • Stay updated on changes in policies and procedures, and communicate them

to relevant stakeholders.

Qualifications and Skills:

  • Bachelor’s degree in Business Administration, Sales, Marketing, or a related field.
  • Minimum of 2 years of experience in a similar role, preferably in a retail environment.
  • Proficiency in MS Office Suite (Excel, Word, PowerPoint)
  • Excellent verbal and written communication skills.
  • Strong attention to detail, ability to multitask, and manage time effectively.
  • Strong customer service orientation and ability to build and maintain relationships.
  • Ability to analyse data, identify trends, and provide actionable insights.
